A no-call/no-show server on a Saturday night does more damage to your P&L than three no-show diners. The Employee Shift Reminders automation hits every server, line cook, dishwasher, and host with a 24-hour and 1-hour SMS before their shift, lets them confirm or request a swap in a single tap, and escalates to the GM the moment someone goes dark — before the floor opens short-staffed.

What it ships with

  • GHL workflows: Shift – T-24 Reminder, Shift – T-1 Reminder, Shift – Confirm, Shift – Cancel/Swap, Shift – No-Call Escalation
  • Integration hooks for 7shifts, HotSchedules, Sling, or a Google Sheet schedule
  • SMS templates: shift reminder, confirm receipt, swap request, no-call alert
  • Manager escalation: SMS + Slack ping to the on-duty GM
  • Custom fields (employee contact): next_shift_at, shift_role, shift_section, shift_confirmed, no_call_count, swap_requested_at

The flow (step-by-step)

1. Schedule sync

At schedule publish (or every 6 hours via Google Sheet sync), upcoming shifts flow into GHL as scheduled SMS-send jobs against each employee contact.

2. T-24 reminder

24 hours before shift start: “Hi [first_name] — you’re on the floor tomorrow [day] from [start]-[end] in [section/station]. Reply YES to confirm, SWAP to request a swap, or call [GM_name] if there’s a problem.”

3. Confirm path

“YES” flips shift_confirmed to true. Silent acknowledgement, no further reminder noise until T-1.

4. Swap path

“SWAP” routes the request into the manager’s GHL inbox with the shift details. The GM can broadcast the open shift via group SMS to qualified employees (line cooks to line cooks, servers to servers) in two taps.

5. T-1 reminder

1 hour before shift start, every unconfirmed-or-uncontacted employee gets a final ping: “Heads up — your shift starts in 1 hour at [start_time]. See you soon.” Confirmed employees skip this touch.

6. No-call escalation

If shift_confirmed is still false at T-15 minutes (or the employee is a no-show at T+10 minutes after start), the GM gets an immediate SMS + Slack alert: “[employee_name] not confirmed/onsite for [section]. Take action.” no_call_count increments on the contact record for HR pattern tracking.

What you can expect

Operators typically see no-call/no-show rates fall by 40-60% in the first 60 days. Swap-request friction drops because employees no longer have to text the GM individually — the system broadcasts the open shift to qualified staff. The GM gets meaningful HR data (the no_call_count field) instead of relying on memory when documenting repeat offenders.

Setup & customization

Pre-built: every workflow, every SMS template, the scheduling sync, and the escalation logic.

What you tweak in 10 minutes: the reminder timing (24h and 1h are defaults; some operators add T-3h), the GM phone numbers, the swap-broadcast role groupings, and which roles get the section/station detail in the reminder.

Compliance notes

Employee SMS sits in a different consent regime than diner SMS. At onboarding, the snapshot includes a one-page consent form (state-specific where required) for SMS scheduling communications. STOP is honored, but employees who opt out lose automated reminder coverage — most don’t, because the system saves them from forgotten shifts. Messages run on the same 10DLC-registered campaign but under a separate use case (workforce notifications) rather than restaurant marketing. No payroll or wage data is included in SMS — only shift time, role, and section.
